Clear race results for a whole school field
The client was a school sports committee in Soweto preparing for a full day on the field, with track events, team results, house points and short announcements all needing one place on view. They wanted the crowd to follow the programme without asking staff to repeat results across the stands and boundary lines.
The brief called for an outdoor screen that could show scores, race times and programme notices in a clean format, while still handling daylight glare and movement around the venue. We planned for a trailer-mounted unit with a bright LED display, content playback, and a technician on site to keep the screen organised through the day.
- Client type: school sports committee
- Town: Soweto
- Use case: scores, timing and announcements
- Format: outdoor LED screen trailer
What had to work on the day
The venue had open playing space, mixed spectator angles and a programme that could shift when events ran over or moved forward. That meant the display needed strong visibility in daylight, enough height for a crowd view, and content that could be updated without stopping the field operation.
We also had to plan around access for towing, parking and safe positioning, plus local permission checks where public spaces or municipal grounds are involved. Wind conditions matter with trailer screens, so the setup needed room for stabilising the unit and keeping the structure within safe operating limits. No one wanted the screen fighting the day, it had to sit quietly and do the job.
- Daylight visibility was the main screen requirement
- Programme changes needed flexible content loading
- Access for delivery and positioning needed careful planning
- Wind and ground conditions shaped the placement
The trailer build and screen spec we used
We supplied an outdoor LED screen trailer with a fine-enough pixel pitch for text, scores and clean announcement slides, while still holding up in bright sun. For school sports, that matters because numbers have to read fast and from a distance, not just look good on a computer file.
The screen assembly included hydraulic lift and rotation so the panel could be set to a practical viewing angle for the stands and field. Power planning covered generator use where needed, with mains power as an option if the site layout allowed it. Content playback was handled on site, and the technician kept the feed steady when schedules shifted or a result needed to be replaced mid-programme.
Where outdoor display work meets a public event, permit guidance also matters in general terms, especially for municipal rules, access control and safe placement near spectators. The trailer gave the school a professional match-day feel, without needing a fixed installation on the grounds.
Setup, timing and the run on the field
Planning through to event delivery took two weeks. The first stage covered the site check, access notes and content preparation, while the second stage focused on delivery, setup and live operation on sports day.
Our crew handled unloading, levelling, lift positioning, screen checks and content loading before the programme started. During the event, the technician managed score cards, timing slides and announcement screens as results came in. When a race line-up changed or a house point update was needed, the display could be adjusted without breaking the flow of the day.
- Week 1: site check, planning and content prep
- Week 2: delivery, setup and live event support
- On-site technician: screen control and playback changes
- Pack down: after the programme ended
What the school got from the screen
The biggest gain was simple, the crowd could follow the day without relying on repeated voice calls across the field. Scores, timings and notices were visible from a distance, which kept the sports programme moving with less confusion around the stands.
The school also had a neater way to present house points and race information, which helped the event feel organised even when the schedule shifted. Because the screen was managed on site, the committee did not need to worry about file changes, playback hiccups or the display freezing at the wrong moment.
- Clear visibility for spectators across the field
- Cleaner timing updates during track events
- Better control over announcements and score changes
- Less pressure on staff handling the programme
What we’d repeat for a school day setup
On a similar school sports deployment, we would again plan for daylight-first content, with large type, simple score layouts and short announcement slides that can be read in seconds. That approach works better than busy designs when people are watching from far off and moving between events.
We would also keep our attention on access planning, weather checks and content control at ground level. For outdoor school events, the best results come from a screen that is easy to see, easy to update and properly managed while the programme is live. The trailer did its job well, and the school had one less thing to juggle on a packed day.
If the venue calls for it, we can also split the plan across more than one stop, with delivery and pack down timed around the broader event schedule. That helps where sports days, prize-givings or roadshow stops need the same screen moving between venues.
